Development of a Computer Program to Manage Inventory and Billing for the FSU Chemistry Stockroom

After an extensive and unsuccessful search for an affordable commercial program which would meet the requirements of stockroom personnel, management, fiscal office, and faculty, it became clear that if we really wanted it our way, we would have to design and write the program ourselves. Program functionality was defined by the users and those dependent on data output. This networked application includes identification of customers by magnetic cards; identification of stock from a bar coded catalog; data maintenance within full function browses; automatic identification of low stock items to the ordering system - deliberately designed not to be too automated; on screen user instructions; a wide selection of printed reports including monthly billing by account, alcohol usage, purchases by vendor, year to date sales and purchases for liquid nitrogen, dry ice, bulk solvents, and physical inventory. The design and decision making process, project control, hardware requirements, phased implementation, problems encountered and advantages and disadvantages of this type of project will be discussed.
